Your privacy matters to us

This Privacy Policy explains how Ergo Web Design collects, uses, and protects your personal data when you visit our website or contact us.

We are committed to transparency, security, and full compliance with GDPR and EU data protection regulations.

Privacy Policy

Your data.
Your trust. Our responsibility.

Ergo Web Design is committed to protecting your personal information and handling it responsibly, transparently, and in compliance with EU data protection laws.

This Privacy Policy explains how we collect, use, store, and protect your personal data when you visit our website, contact us, or use our services.

We may collect personal information such as your name, email address, phone number, business details, and website information when you submit forms, contact us, or interact with our advertising campaigns.

Your information is used solely to respond to enquiries, provide our services, improve our website, manage client relationships, and communicate with you about relevant projects or offers. We do not sell or share your data with third parties for marketing purposes.

Data may be processed using trusted platforms such as hosting providers, analytics tools, CRM systems, email services, and advertising platforms (including Meta and Google), strictly for operational and performance purposes.

We implement appropriate technical and organisational security measures to protect your personal data against unauthorised access, loss, misuse, or disclosure.

Ergo Health Revenue research feedback

When you complete the Ergo Health Revenue validation questionnaire, we may collect information about your professional role, type and size of medical practice, current administrative and revenue-reconciliation workflow, software systems, operational difficulties, preferred features, pricing expectations, and interest in participating in a future pilot.

Your name, clinic name, email address, and phone number are optional unless you request a follow-up conversation or express interest in an early pilot. The questionnaire must not be used to submit patient names, medical records, claim identifiers, diagnoses, or any other patient information.

We use this information only to evaluate whether the proposed product should be developed, understand the needs of medical practices, assess potential features and pricing, and contact respondents who request further discussion. The information is processed on the basis of the consent provided when submitting the questionnaire.

Questionnaire responses are stored in a restricted, non-public area of our server and are accessible only to authorised persons working on the product-validation project. We do not sell these responses or use them for unrelated advertising.

We normally retain research responses for up to 24 months after submission, unless you request earlier deletion or a longer period is required to establish, exercise, or defend legal claims.

Ergo Finance Automation review requests

When you complete the Ergo Finance Automation Review form, we may collect information about your professional role, organisation type, number of entities, approximate transaction volume, current accounting software, Xero usage, financial workflow difficulties, desired integrations, priority services, implementation timeframe, indicative budget, and interest in managed finance or bookkeeping support.

Your name, company name, email address, and phone number are optional unless you ask us to contact you. The form must not be used to submit accounting records, bank details, passwords, tax identifiers, payroll records, client information, or other confidential financial data.

We use this information only to assess whether Xero migration, optimisation, financial automation, systems integration, reporting, training, or ongoing support may be suitable for your organisation, and to contact you where requested. Processing is based on the consent provided when submitting the form.

Responses are stored in a restricted, non-public area of our server and may also be sent through our business email service to authorised Ergo recipients. A one-way technical hash may be created for abuse prevention, but the raw IP address is not stored in the submitted response record.

We normally retain Finance Automation Review responses for up to 24 months after submission, unless you request earlier deletion or longer retention is required to establish, exercise, or defend legal claims.

Under GDPR, you have the right to access, correct, restrict, or delete your personal data, and to withdraw consent at any time. You may also request a copy of the data we hold about you.

If you have any questions about this policy or how your data is handled, please contact us via our Contact Page.
